General
What is Abtrac?
Abtrac is a time based billing system.
It is specifically built for professional services businesses, where fees are earned from
the delivery of professional expertise. This is charged either at an hourly rate,
fixed fee or on a percentage basis. In this regard Abtrac is almost unique, which is
one reason it is so popular amongst those who use it.
Most packages are inventory based billing systems. This is evidenced as they have
product margins, and freight costs etc. built into them. Professional services business
have a different requirement that Abtrac most elegantly meets.
Abtrac manages clients, projects, project stages, employees, charge rates,
activities, invoicing, revenue forecasting, work scheduling, sub-consultants, and more.
Its range of reports is legendary. It interfaces with MYOB, other accounting systems,
and Outlook, providing a seamless single system with which you can run your business.
Who should use Abtrac?
All professional services firms need a system like Abtrac. This is because they all bill
clients on the basis of the application of their time, either directly hour by hour or through
some other billing agreement. The compelling factor is that the size of the invoice
reflects the value of the expertise delivered rather than the value in any goods or
materials supplied.
Current clients include accountants, technology companies, HR consultants, PR consultants
and a range of professionals in the construction industry including surveyors, valuers,
engineers, architects, designers and others.
Purchasing Abtrac
How much does Abtrac cost?
There are two purchase options. One is to purchase Abtrac outright and set up a small monthly
payment to cover ongoing support and upgrades.
The second option is to sign up on a "pay as you use" subscription basis, which is how
most people acquire Abtrac. If you are up to date with your monthly payments, either
acquisition option entitles you to free unlimited telephone and email support,
and as we upgrade Abtrac, you receive the latest version at no extra cost.
Upgrades are released approximately every 2 years, keeping you and Abtrac up to date
with the latest functional requirements, and of course with the latest technology requirements.
The amount paid up front or by subscription varies according to the number of users.
Indicatively, an average office can cover the cost of Abtrac by billing an extra 15
seconds per employee per day. This is not a mis-print. The cost is very small compared to the
wastage and cost over-runs in many businesses that Abtrac can immediately identify
and therefore help management to minimise.
Of course, the real value is in being able to find out in real time where a job is up to,
who has spent what
time on it, what disbursements have been put to it, and what billings have been to date.
Our testimonials are but a sample of our users. But clearly the cost
is nothing vis-a-vis the benefits and levels of information and comfort Abtrac offers.
This includes the value
in the trust you can place in us, as well as knowing that we are there for support
and to accept your
suggestions on how Abtrac can be even better in the next upgrade.
Can Abtrac be customised for our own unique purposes?
Yes. Most sites using Abtrac have modifications just for them. Talk to Abtrac about customising
Abtrac to suit you.
What levels of support are available?
Full support is available during normal working hours to 5:00 pm Monday to Thursday
and to 4:00 Friday. Email support
is also available. The full service plan in your monthly fee includes unlimited
telephone and email support, plus free upgrades.
Is Abtrac an Accounting package?
No. Abtrac's power is in managing the work long before the invoice stage, from it's
inception right through to the invoice.
In doing so it provides real time information on actual fee values and disbursements
every day throughout the billing period, as
they are entered. And it provides comparisons with budgets for the same projects.
With such quality management information, time and disbursements can be managed,
instead of simply reviewed at month end. This results
in every invoice reflecting a much better recovery of the current work in progress.
Indeed when the invoice is created, it is too late. The profit or loss is immediately
conceeded on the values claimed on the invoice and it becomes history.
Can I link Abtrac to my accounting system?
Yes. We have links to several accounting systems enabling the upload of invoices
created in Abtrac. This saves, rekeying the data. In particular we are registered MYOB
developers, so we have many different ways of integrating Abtrac with MYOB.
Contact us if you are interested in knowing more about linking Abtrac
to your accounting system.
